How the letting process works through us

Viewing the Property

If you see a property you like, please call our office to arrange an in-person viewing. If you are unable to attend, you can have someone attend on your behalf, or have a video-call viewing.


Deposit

Once you have viewed a property, please call the office and speak to a member of staff to ensure that it is still available. If it is, we will ask you to send an email to info@kpmresidential.com stating your name, whether you are a student or working, and ideally when you would like to move in. Once this is approved by the landlord, we will ask you to pay the deposit so that we can take the property off the market and proceed with referencing.

Once you sign the lease, your deposit will be lodged with Safe Deposit Scotland within 30 working days. If you are unable to proceed with your tenancy application, your deposit will be refunded to you in full.


Referencing Form

You will be required to fill out a tenant referencing form. If you are a student or not in full-time employment, your guarantor will be required to fill in their information at the bottom of the form.


Documents Required – Students

  • Form of ID – passport or driving license
  • 3 month’s worth of bank statements
  • Letter from your university confirming you are studying
  • A suitable guarantor
    • If you are unable to provide a guarantor, you may have the option to pay your rent 6 months up-front. Please discuss this directly with our team.

Documents Required – Employed

  • Form of ID – passport or driving license
  • 3 month’s worth of bank statements
  • 3 month’s worth of payslips
  • Pension statements are also suitable if you are not working and are receiving a pension
  • If not in full-time employment you will need to provide a guarantor or may have the option of paying 6 months rent upfront. Please discuss this directly with our team.

Referencing Process

Once we have received your referencing form and documents, we will use an external company to complete the reference and credit check.

The referencing company will contact you for any information and you will need to provide it to them directly.

Once your reference is complete, we will confirm the exact move-in date and time with yourself. Prior to the move in day, we will send your lease to be e-signed by all tenants moving into the property and a guarantor agreement for your guarantor if required. On that day, we will ask you to come into the office to sign the inventory and collect the keys. You will have 1 week to confirm the details of the inventory and to make any amendments.


Deposit Refunds

If for whatever reason you are unable to proceed with your application, your deposit will be refunded to you in full.

Once you have decided to move-out of a property, please send us your notice-to-quit in writing to ntq@kpmresidential.com. You will then receive a response confirming we have received your NTQ, and letting you know what our move-out procedures will be. If at anytime you are unsure, our dedicated team will be on hand to answer any questions you may have.

Once you move out, we will arrange a check-out of your property. This will be arranged within 2-3 weeks of you returning the keys and vacating the property. Once the checkout is complete, our agent will contact you via email to discuss in detail the property conditions, issues or to confirm that everything was OK within the property. We will let you know of any deductions and put it forward to Safe-Deposit Scotland.
